Introduction:
Joining the IT
Association at PSG Polytechnic College was a turning point in my college life,
and the role of Program Executive played a significant part in shaping my
leadership and organizational skills. Little did I know that this experience
would turn into a journey filled with challenges, teamwork, and immense
learning. The road from applying for multiple positions to executing events
successfully with a dedicated team was nothing short of an adventure. In this
blog post, I will take you through my journey as the Program Executive of the
IT Association and how I worked to make every event a success.
The Application Process: A Roller Coaster of Emotions
It all began
when I decided to apply for three crucial positions in the IT Association: Secretary,
Program Executive, and Treasurer. To be honest, I was quite nervous but also
excited at the opportunity to be part of something bigger. The positions were
competitive, and the process was rigorous. I knew that getting any of these
roles would be an accomplishment, but I was determined to put my best foot
forward.
I was lucky
enough to work under the guidance of Mrs. G. Preethi (Fifth Semester) and Mrs.
A. Haritha Deepthi (Sixth Semester), two incredibly supportive mentors. Their
guidance and encouragement played a pivotal role in shaping my journey. The
interview process was intense, with questions coming at me like Yorkers to a
batsman. It was not an easy task, and I had to think on my feet to answer each
question with precision. Despite the pressure, I remained calm and gave it my
all.
After what
seemed like an eternity, the results were announced. To my surprise and joy, I
was selected as the Program Executive. I knew that this role would come with
immense responsibilities, but I was ready to take on the challenge.
The Role of Program Executive: Responsibilities and Challenges
As Program
Executive, my primary responsibility was to arrange chief guests for events,
coordinate event logistics, and ensure everything ran smoothly. It was
essential that the events were conducted professionally, and my goal was to
ensure that every aspect, from the invitations to the final valedictory
function, was carried out without any demerits. The role required me to have a
keen eye for detail, strong communication skills, and the ability to work under
pressure—qualities that I had developed over the course of my academic journey.
One of the main aspects of my job was event management. The challenge wasn’t just about organizing events; it was about executing them seamlessly. I had to work with various departments, team members, and stakeholders to ensure that everything was in place before the event began. This included finalizing the event theme, managing guest lists, designing promotional materials, and making sure the event ran without a hitch.
Teamwork: The Key to Success
The success of
any event lies in the strength of the team behind it, and I was fortunate
enough to work with an incredible group of students. The teamwork displayed
during our events was commendable. Everyone was on the same page, working
towards a common goal. It made the entire process much smoother, as we could
rely on each other to get things done efficiently.
We conducted
various events throughout the term, and I was pleased to see how well each
event turned out. From technical workshops to guest lectures, the events were
executed successfully, and the credit for this success goes to the collective
effort of the entire team.
One of the key lessons I learned during this time was the importance of delegation. As the Program Executive, I had to coordinate various tasks, but I quickly realized that I couldn’t do everything on my own. By delegating responsibilities to other team members, I was able to focus on the bigger picture while ensuring that each task was completed to perfection.
Designing Posters: A Creative Outlet
One of the
aspects of my role that I thoroughly enjoyed was designing event posters.
Posters are crucial in promoting events and attracting attendees, so I took
great care in making sure each poster was topnotch. Using tools like Canva, I
created visually appealing and informative posters that grabbed the attention
of the students. I paid special attention to the color schemes, fonts, and
layout to ensure that the posters were both professional and visually
attractive.
The feedback I
received on the posters was incredibly positive, and it made me feel proud of
the work I was doing. Designing posters not only allowed me to express my
creativity but also gave me the chance to contribute to the overall success of
the events.
System and Technical Management: Ensuring Smooth Operations
For any event to
run smoothly, technical aspects like sound systems, projectors, and computers
need to be in perfect working condition. Thankfully, I had the support of the
IT department to ensure that all the systems were functioning properly. We made
sure to doublecheck everything before the event began, ensuring there would be
no technical glitches during the proceedings.
On the day of
the events, I was constantly on my feet, coordinating with the technical team,
the guest speakers, and the participants to ensure that everything was set up
on time. From setting up projectors for presentations to managing the sound
system during speeches, I was involved in making sure that all technical
aspects were flawless.
The Role of the MC: Perfecting the Event Flow
As a Program
Executive, I also had to ensure that the Master of Ceremony (MC) for each event
was well prepared. The MC plays a crucial role in keeping the event flowing
smoothly, and it was important for me to make sure that they were fully briefed
and ready. I worked closely with the MCs to rehearse their lines and ensure
that they understood the schedule and the flow of the event.
It was a
rewarding experience to watch the events unfold with the MCs handling their
roles flawlessly, keeping the audience engaged, and making sure the event
progressed without any delays.
The Valedictory Function: A Fitting Conclusion
All the hard
work and dedication paid off during the valedictory function. It was the final
event of the term, and it marked the culmination of all the efforts we had put
into organizing the various activities throughout the year. The valedictory
function was a celebration of the achievements, teamwork, and growth that had
taken place over the course of the term.
As the event
concluded, I couldn’t help but feel a sense of pride. We had accomplished
everything we set out to do, and the feedback from the attendees was
overwhelmingly positive. It was a fitting end to a successful term, and it
reaffirmed my belief in the power of teamwork and effective leadership.
Conclusion: A Journey of Growth and Learning
My journey as
Program Executive of the IT Association has been an incredibly rewarding
experience. It allowed me to grow both personally and professionally. I learned
